What is Get-in-Line?
Organizations can enable Get-in-Line to provide their patients with faster access to medical care. Get-in-Line uses a Wait List workflow queue, allowing organizations to set a specific number of available appointment slots at their clinic or other locations.
Patients can schedule same-day appointments without the need to call or wait for an office to open. After a patient books an appointment, they will receive a notification that confirms their appointment and another one when the clinic is ready to check them in.
How it Works
Feature |
Description |
---|---|
Get-in-Line button |
To provide patients access to a same-day appointment scheduling option at a clinic/location, organizations can place a button on their website for easy access to Blockit's waitlist scheduling feature. Patients can get in line at a clinic and get seen that day. |
Time-bound wait list |
The time-bound wait list allows organizations to configure their wait list to be displayed in a time block format. This provides clarity for patients on when they can expect to be seen and plan accordingly, also, this helps admin staff manage their queue more accurately. |
Timeslot SMS & email notifications |
After booking an appointment through Get-in-Line, patients are sent two notifications via email or text. The first includes the location and date of the appointment, and is sent right after booking. The second notification notifies the patient that it is time to head to the clinic, and is sent once they become third in line, or immediately if they are in the first three users to request an appointment. Note: These notifications only apply to waitlist bookings, time slot bookings are not supported. |
Workflow Queue Management |
Clinic admins can use the check-in filter to filter appointments in the workflow queue by Checked In and No Show statuses. Patient check-in: The Check In button allows clinic admins to check in a patient when they arrive to the clinic. Mark urgent: Patients can also be marked Urgent, which puts them to the top of the queue. Note: Only clinic admins are able to view patient prioritization. |
Patient & Provider Experience
Patient Scheduling
The patient visits the organization's consumer landing page and selects the desired specialty and visit type. They can narrow their search by location and then click Search. Next, they can click Get-in-Line to fill out an appointment request.
Time Bound Patient Scheduling
The patient visits the organization's consumer landing page and selects the desired specialty and visit type. They can narrow their search by location and then click Search. Next, they can click an available time slot to fill out an appointment request.
Booking an Appointment
On the following page, the patient fills in the required personal information: first name, last name, address, phone number, and email address, as well as the reason for their visit. They can also provide optional information about their insurance carrier, plan, group number, and policy number if they have it. Once they complete the appointment details, they can click BOOK APPOINTMENT to confirm.
Wait List Confirmation
Once they book their appointment, the patient receives an email and SMS notification letting them know, "You're in line", to confirm they are on the clinic's wait list. They receive another notification to head to the clinic once they are third in line (or immediately if they’re one of the only three waiting in the queue). At the clinic, they will be seen by the healthcare provider according to their position in the wait list.
Provider to View Wait List queue
In the Blockit App, go to Referral Portal > Workflow Queues and click on Wait List. Patients who have been marked urgent, or those who have been in the queue the longest appear at the top of the queue.
Manage the Wait List
Check a patient in from the queue: Click on patient details and then select Check In. After the patient is checked in, the status changes from BOOKED to FULFILLED.
Cancel an appointment: Click Cancel to remove the user from the queue.
View/add appointment details: Click to open the Patient Details page and add patient notes, attachments, or staff notes and results for the appointment. You can also click Schedule Follow Up at the top right-hand corner.
Mark a patient urgent: Click the ellipsis and select Mark Urgent. Their appointment is then moved to the top of the queue.
