Users can modify various features within a profile to keep the profile accurate and up to date.
The user will need some of or all of the following data to modify a profile:
- Physician’s name
- Phone number
- Location
- NPI number
- Languages (optional)
- Professional Statement (optional)
- Board Certifications (optional)
- Education and Training (optional)
- Vist Type and Duration
- Accepted Insurances
- Desired buffer time between appointments
Steps:
After logging in to Blockit, go to the “Admin Portal” by clicking on the “Admin Portal” tab. From there, click on “Profiles” and search for the desired profile. From there, you will see a series of items on the left-hand side of the screen. Be sure that once information has been modified on a particular tab to click "Save" before moving to a new section.
Profile Info
The profile info section allows for full customization and personalization by allowing the user to upload an image, select the profile type as "Provider, Location, Machine, or Group," insert names and titles, as well as NPI number and languages. This screen also allows the user to input general patient instructions, board certification information, provider education, and the provider's professional statement.
This screen also gives the option to activate or deactivate the given profile, as well as clone the profile. Cloning a profile will duplicate the profile in its entirety and is beneficial when uploading multiple profiles at one time.
Contact Info
The contact info section includes the phone number and email address for the profile, as well as the location. The email address field can have multiple email addresses, separated by a comma, and is the email address that will receive activity notifications for the profile. Please note that the email address that is added here will send notifications to that user only for this profile. If a user, such as a medical assistant, works only with certain physicians, adding their email address here will ensure they only receive notifications for certain clinicians.
For the physical address, the user has the option to select an existing location or create a new location from this screen.
NOTE: If a phone number is not listed in the Phone Number section of the profile, the profile contact information will default to the location's phone number.
Schedule & Visit Types
From the "Schedule & Visit Types," 'Templates' screen, users can add a visit type and update the appointment duration. Please note that these views are different for integrated and non-integrated users. The reference image is the view for integrated users. Please note that the profile for an integrated account will not be complete for appointment scheduling until additional configuration information is provided. Contact support@blockitnow.com for more information regarding profile integration. For more information on adjusting availability for non-integrated accounts, see Adjusting Availability (Non-Integrated Only).
Users can view the profile availability by selecting the “Schedule & Visit Types" tab, then clicking the 'Time Slots' tab. This allows the provider to see how their slots will appear in a search or when another user visits their profile. Note this view does not take into account any buffer or lead time.
Consumer Settings
The consumer settings section allows the user to select “Make Available for Patient Self-Scheduling,” which allows patients to schedule themselves via the consumer scheduling link if consumer scheduling is enabled for your organization. This view also provides the direct link to the appointment scheduling screen. The link can be modified to include a preselected visit type or search all profiles that share the same NPI number. Providing a direct link will bypass the “Make Available for Patient Self-Scheduling” selection. Additionally, for more information on how to group profiles, see our article Group Profile Types.
Insurance Management
This section has a broad listing of insurances of which can be selected and moved to the provider's accepted insurances list.
Advanced Settings
Advanced settings allows the user to select a buffer or lead time between appointments. Buffer times allow a minimum delay for appointment slots to be shown to provide office staff time to prepare for the patient appointment. This screen also allows for users to update minimum and maximum age of the patient and toggle Send-to-Patient and Send-to-Provider information.
